Position Title:                           Program Assistant

Reports to:                               Assistant Program Director

Location:                                  Chicago, IL

Position Status:                         Part-time, Non-Exempt


Position Summary


The Program Assistant based in Chicago, provides support to the program team through administrative and project-based duties that support core-courses, the residency and fellowship program. The position works directly with the Assistant Program Director to promote programs, and guide artists through the many opportunities available at Ox-Bow. The program assistant answers day-to-day correspondences regarding programs, enrollment and application processes. In conjunction with the program team, the program assistant will help with data entry for courses and prepare applications for the panel selection process. Occasional travel between Chicago and Ox-Bow’s campus in Saugatuck will be required. Ox-Bow is a team-oriented organization.  While each staff member has their specific areas of responsibility, staff works together to ensure that Ox-Bow is able to effectively fulfill its mission.



Primary Duties and Responsibilities:

      Answers day-to day questions and correspondences regarding programs (phone and Ox-Bow’s main email account)

      Assists in communication with students about core summer courses, residency and fellowship programs

      Assists with registration process including: entering student information into database, and emailing students to confirm registration and class information

      Assists with the preparation of applications for panel selection process (scholarship, fellowship, residencies)

      Distributes marketing materials throughout SAIC campus

      Leads student recruitment events; info tables, info sessions, class visits, and assist with school visits.

      Assists with faculty travel to campus

      Updates orientation materials for students, faculty and visiting artists

      Assists in other program events

Skills & Qualifications: 

Special Knowledge and Qualifications

●      Proficient with Excel, Microsoft Office Suite, and the Google suite of products

●      Familiarity with database programs (Filemaker)

●      Excellent time management and organizational skills with multi-tasking ability

●      Ability to work independently and across organizational silos with a strong attention to detail

●      Outstanding written and verbal communication

●      Comfort with public speaking

●      Knowledge of and passion for contemporary art preferred


 Education/Job Experience/Certification

●      Bachelor of Fine Arts degree or two years previous experience in non-profits or arts administration
