Events & Office Assistant

The Chinese Fine Arts Society (CFAS) is seeking a part-time Events & Office Administrator.  This position reports to the Executive Director. Approx 2.5 days per week at $22 -25K salary (dependent on experience). Some evening and weekend hours required.

AREAS OF RESPONSIBILITY

Music Festival Honoring Confucius:

Take primary responsibility for the general administration of the annual Music Festival honoring Confucius, including, but not limited to:

  • Update website information

  • Manage music book orders and inventory

  • Prepare and send contestant packages

  • Manage registration of MFHC participants

  • Respond to all general correspondence

  • Assist with event scheduling

  • Attend event and assist with production tasks

 

 

Community Engagement & Fundraising Events:

Assist with the administration of our community engagement programming and fall gala including, but not limited to:

  • Manage guest lists

  • Oversee contracts and invoices for performers, contractors, venues, and vendors

  • Maintain promotional print materials

  • Organize and maintain production equipment and supplies

  • Attend events and assist with production tasks

General
Maintain office systems and help with the general needs of running a small non-profit, including, but not limited to:

  • Day-to-day office management tasks

  • Respond to general enquiries

  • Research projects and generating reports to support the Executive Director in creating funding proposals and sponsor/ partner reports

  • Update social media pages

Requirements
Skills & Qualifications: 

Essential Job Qualifications

  • Bachelor’s degree

  • 1-2 years of professional experience in  arts management or related field

  • Excellent communication skills; detail-oriented, with the ability to work professionally and efficiently in a fast-paced environment

  • Knowledge of Microsoft Office applications and basic databases.

  • Outstanding interpersonal communications skills

  • Ability to work independently and manage multiple tasks on deadline

 

Preferred Qualifications

  • Valid driver’s license and access to a car, proof of automobile insurance is required.

  • Experience of production work for arts events.

  • Understanding of wordpress and use of social media in a business setting.
