JOB OVERVIEW:

See Chicago Dance (SCD), Formally Audience Architects, Chicago’s non-profit service organization for dance, is seeking aqualified Events Assistant to a) provide administrative support and coordinate a variety of tasks for the three “Moving Dialogs: Culture in Motions” series, and b) Coordinate tasks related to Chicago Dance Month Programming and events.

The Assistant is a part-time contract position for four months from mid-February to mid June 2018. The position reports to the Community Engagement Consultant, and will work to ensure that all events, are well organized and follow the mission and vision of the organization. Specifically, the Event Assistant will be responsible for coordinating and sending of a variety of written and digital communications, including print and digital invitations, thank you letters, requests for event sponsorship, and accurate database tracking for all event related communication, and assist with the production and running of all events associated with Dance Month and Moving Dialogs The position also will assist with organizing vendors, catering, and event volunteers.

This position offers the right candidate tremendous opportunities for networking in the highly competitive professional dance field. The position averages 5 - 10 hours per week during the contract period with more time during event weeks, and the majority of the work will take place during normal business hours at SCD’s downtown office in Chicago, but will also occasionally include weekends or evenings. Assistant must be present for all Moving Dialogs and Dance month Events. The compensation is a monthly contract fee and compensation also includes travel reimbursement. Must be available for the following dates March 27, April 3, April 10, April 30, May 9, June 5. From 9am to 9pm (event days) and Thursday Afternoons in April, 12-7pm.

RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

  • Provide administrative assistanceto the Community Engagement Consultant.

  • Coordinate and trackalleventmail/emailsolicitationefforts.

  • Trackdonation requests,sponsorship asks and ticketsales

  • Assistin planning, administration, and production throughout the contract period, including participation in site visits.

  • Assist other staffin the supportofmarketing efforts to promoteevents

  • Plan and manageeventsetup and on site coordination of the event’s activities, including 8-10 volunteers.

  • Other duties as assigned.

Requirements
Skills & Qualifications: 

QUALIFICATIONS:

·       Possesses a passion for dance and events management and is motivated to work toward the increased vitality of the dance sector. Familiarity with the Chicago dance community is a plus.

·       Previous experience in a non-profit work environment. Previous event experience is preferred.

·       Proficient in Microsoft Office or equivalent software, including Word and Excel.

·       Outstanding customer service skills and a pleasant, professional demeanor.

·       Demonstrated ability to work as team. Previous experience coordinating volunteers and is desirable.

·       Ability to be flexible yet organized and multi-task in a fast paced environment.

·       A professional work ethic combined with a sense of humor.

·       Candidates with a valid drivers license and regular access to a vehicle are preferred.
