About the Position:
The Arts + Public Life (APL) Elevated Chicago Intern (intern) is responsible for providing a range of administrative support to APL team members working on the Elevated Chicago steering committee and working groups. The intern’s responsibilities will include, but is not limited to, correspondence with Elevated Chicago team members both internal to APL and external, scheduling, developing meeting notes, structuring electronic filing, assisting with obtaining proposals, and researching background information for the team as required. The position is part time, at about 8-10 hours per week.
 
About the Unit:
Arts + Public Life builds creative connections on Chicago’s South Side through artist residencies, arts education, and artist-led projects and events. As part of the University of Chicago's efforts to enhance the arts, the Arts + Public Life initiative actively encourages the development of relationships between the creative and artistic projects taking place at the University with those that are taking place throughout the South Side, the city of Chicago, and beyond. Arts + Public Life strengthens and develops sustainable partnerships with local community organizations and residents, artists, and arts organizations with a focus on three primary areas of creative activity: 1) enhanced opportunities for collaboration with artists of color, diverse cultural organizations, and women through new space and programmatic efforts on Chicago's South Side; 2) strengthened arts education with local schools and campus arts partners, and 3) sustainable community partnerships that ensure the broader University activities serve as important community assets.
 
Elevated Chicago is the local initiative of the Strong Prosperous and Resilient Communities Challenge (SPARCC). SPARCC is a $90 million national initiative which invests in and amplifies local efforts underway in six communities to ensure that new investments lead to equitable and healthy opportunities for everyone. Arts + Public Life is represented on the Steering Committee and in working groups of Elevated Chicago and provides background and perspective for integrating Arts and Culture into local investments and initiatives.
Requirements
Skills & Qualifications: 
Essential Functions:
 
75% administrative support to APL team members working on Elevated efforts
  • Assist team in scheduling meetings
  • Assist team in setting spaces for in-person meetings, including room/chair configuration set-up
  • Assist team in setting up conference calls
  • Note taking for working group meetings
  • Setting up and monitoring steering committee and working group correspondence using online communication platforms
  • Setting up and monitoring event calendar(s) within online communication platforms
  • Setting up and monitoring files in Elevated Chicago digital cloud document storage
  • Assist APL team in developing content for marketing of events and efforts related to Elevated Chicago
  • Research for background knowledge for team regarding various related topics such as Transit Oriented Development, Health Policy, and/or Arts Policy
  • Research for potential tools and services for team to employ for project
 
20% working closely with APL team for Elevated Chicago related grant writing and grant management
  • manage portal for grants related to Elevated Chicago
  • manage report deadlines and milestones for grants related to Elevated Chicago
  • assist in processing invoices from sub-consultants related to Elevated Chicago grants, including administrative correspondence with sub-consultants
 
5% Other duties as assigned
 
Qualifications
  • Ideal for student interested in public policy and the arts
  • Ability to use computer, including Microsoft Office suite including PPT, Google Drive platform, Outlook calendar
  • Excellent written and spoken communications skills
  • Ability to interface professionally with diverse audience
  • Exhibits organization skills to keep track of different projects and communication threads
  • Ability to take initiative and work independently
  • Familiarity with SLACK communications platform, a plus
  • Must be self-directed and self-motivated
  • Clear, effective and tactful oral and written communication skills 
 
Physical Effort:                 
  • Considerable office work including ability to sit and use computers for 2 to 4 hours
  • Occasional pushing and lifting of chairs and tables to set up events. Some light lifting (10 to 50 lbs) is required
