The Executive Assistant will provide administrative and secretarial support of a highly responsible, sensitive and confidential nature to the President & Managing Director, and will work with the Harris Theater Board of Directors in support of committee and related activities.  

CHARACTERISTIC DUTIES AND RESPONSIBILITIES:  

EXECUTIVE ADMINISTRATIVE SUPPORT  
� Design and coordinate the effective scheduling of highly complex meetings, interviews and conference calls for the President & Managing Director, anticipating needs and exercising discretion and judgment as to priorities;  
� Obtain, prepare and organize background materials, agendas, and minutes for various meetings as requested; maintain appropriate follow-up.  
� Initiate, draft, edit, and type correspondence, reports, meeting minutes, manuscripts, speeches, etc. as requested.  
� Create and maintain file system.  
� Maintain systematic follow-up systems; ensure that deadlines are met and materials are received on a timely basis.  
� Review, sort and monitor incoming mail; initiate necessary follow-up with Managing Director.  
� Prioritize email correspondence for the Managing Director when needed.  
Provide receptionist support each day and as needed. Perform usual end of the day tasks.  
� Other duties as required or assigned.  



The position is full-time.
Qualifications and Application Requirements

Skills & Qualifications: 

PREFERRED QUALIFICATIONS:  

� Bachelor�s degree or equivalent combination of education and experience from which comparable knowledge and abilities can be acquired. 
� Three or more years of professional administrative office experience, preferably in an Arts Management, development or fundraising environment.  
� Ability to effectively communicate and work with all levels of constituents, while operating in a fast-paced proactive environment.  
� Must be a team player and thrive in a collaborative environment.  
� Expert knowledge of Microsoft Office, including Outlook, Word and Excel. Ability to type 60-80 wpm with accuracy is required.  
� Ability to prioritize work for self, strong organizational and interpersonal skills, and adeptness at handling detail; ability to multitask is essential. 
� Ability to set priorities; handle multiple assignments and deadlines, and to display excellent judgment, while operating in a flexible and professional manner.  
� Strong communication skills, both written and oral are essential; the ability to write clearly and concisely for various mediums.  
� A high degree of creativity, initiative, and resourcefulness is required.  
� Ability to maintain highly confidential information and use excellent judgment on a variety of sensitive subjects. 

Performing Arts interest and/or experience a strong plus. 

Starting salary is highly competitive and is commensurate with experience.
