The Executive Assistant will provide administrative and secretarial
support of a highly responsible, sensitive and confidential nature to
the President & Managing Director, and will work with the Harris
Theater Board of Directors in support of committee and related
activities.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES:
EXECUTIVE ADMINISTRATIVE SUPPORT
� Design and coordinate the effective scheduling of highly complex
meetings, interviews and conference calls for the President &
Managing Director, anticipating needs and exercising discretion and
judgment as to priorities;
� Obtain, prepare and organize background materials, agendas, and
minutes for various meetings as requested; maintain appropriate
follow-up.
� Initiate, draft, edit, and type correspondence, reports, meeting minutes, manuscripts, speeches, etc. as requested.
� Create and maintain file system.
� Maintain systematic follow-up systems; ensure that deadlines are met and materials are received on a timely basis.
� Review, sort and monitor incoming mail; initiate necessary follow-up with Managing Director.
� Prioritize email correspondence for the Managing Director when needed.
Provide receptionist support each day and as needed. Perform usual end of the day tasks.
� Other duties as required or assigned.
